Welcome to Northeastern Oklahoma Bookkeeping LLC. These Terms of Service (“Terms”) govern your use of our website and your interactions with us regarding our bookkeeping services.
By accessing this website, submitting a contact form, scheduling a consultation, or otherwise using this website, you agree to these Terms.
1. Bookkeeping Services
Northeastern Oklahoma Bookkeeping LLC provides professional bookkeeping and related financial recordkeeping services to small businesses.
Services may include, but are not limited to:
- Monthly bookkeeping
- Bank and credit card reconciliations
- Financial reporting
- QuickBooks Online support
- Bookkeeping cleanup and catch-up services
- Assistance migrating bookkeeping records to QuickBooks Online
- Other bookkeeping services agreed upon with the client
The exact scope of services for each client will be established separately through an engagement agreement, service agreement, proposal, or other written agreement.
Information presented on this website does not by itself create a client-bookkeeper relationship.
2. QuickBooks Online
Our bookkeeping practice primarily provides bookkeeping services using QuickBooks Online.
Clients using another accounting or bookkeeping platform may be offered assistance with migrating their records to QuickBooks Online when appropriate.
Clients are responsible for maintaining any subscriptions, accounts, permissions, and third-party services required to perform the agreed-upon work unless otherwise stated in a written agreement.
3. Client Responsibilities
Clients are responsible for providing complete, accurate, and timely information necessary to perform bookkeeping services.
This may include bank statements, credit card statements, receipts, invoices, payroll reports, loan documents, merchant processor reports, tax documents, and other financial records.
We are entitled to rely on information and documentation supplied by the client or the client’s authorized representatives.
Northeastern Oklahoma Bookkeeping LLC is not responsible for errors, delays, inaccurate reports, missed deadlines, or other issues resulting from incomplete, inaccurate, misleading, or untimely information supplied by a client or third party.
4. Client Cooperation and Communication
Successful bookkeeping requires timely communication and cooperation.
Clients agree to respond to reasonable requests for information, documentation, clarification, approvals, and access necessary to complete agreed-upon services.
Delays in receiving required information may result in delays in completing bookkeeping work or financial reports.
5. No Tax, Legal, Investment, or Financial Advisory Services
Unless specifically agreed upon in writing and legally permitted, bookkeeping services provided by Northeastern Oklahoma Bookkeeping LLC do not constitute tax preparation, legal advice, investment advice, financial planning, or other regulated professional advice.
Clients should consult a qualified CPA, tax professional, attorney, financial advisor, or other appropriate professional regarding matters requiring those services.
Financial reports prepared as part of bookkeeping services are based upon information available to us and should not be considered audited, reviewed, or compiled financial statements unless expressly stated otherwise.
6. Consultations
We may offer prospective clients an initial consultation to discuss their bookkeeping needs.
A consultation does not guarantee acceptance as a client and does not create an ongoing professional relationship unless both parties subsequently agree to work together.
We reserve the right to decline an engagement when we determine that the requested services are outside our scope, appropriate records are unavailable, there is a conflict of interest, or the engagement is otherwise unsuitable.
7. Fees and Payment
Fees for bookkeeping services will be established in the client’s service agreement, proposal, or other written agreement before recurring services begin.
Monthly bookkeeping fees are due on the 1st day of each month unless otherwise agreed to in writing.
Clients receiving recurring monthly bookkeeping services are required to maintain an approved electronic payment method through QuickBooks. Payment may be made by ACH bank transfer or credit card, as permitted by Northeastern Oklahoma Bookkeeping LLC.
Before recurring electronic payments begin, the client must complete and sign an Electronic Payment Authorization Form authorizing Northeastern Oklahoma Bookkeeping LLC to process the agreed-upon recurring monthly payment using the client’s selected payment method.
Clients are responsible for maintaining current and accurate payment information and must promptly notify Northeastern Oklahoma Bookkeeping LLC of any changes to their authorized payment method.
If an authorized payment is declined, returned, disputed, or otherwise unsuccessful, the client remains responsible for the outstanding balance. Bookkeeping services may be paused until the account is brought current, subject to the terms of the client’s service agreement.
Services requested outside the client’s regular monthly bookkeeping package or agreed-upon scope of work may result in additional charges. Any significant additional work and applicable fees will be communicated to the client before that work is performed.
Authorization for recurring electronic payments will remain in effect until canceled or replaced in accordance with the client’s service agreement and Electronic Payment Authorization Form.
8. Cancellations and Termination of Services
Either the client or Northeastern Oklahoma Bookkeeping LLC may terminate a bookkeeping relationship subject to the terms of any applicable service agreement.
Amounts already earned for services performed remain due and payable following termination.
Certain payments, retainers, deposits, or prepaid amounts may be non-refundable when specified in the applicable service agreement.
Upon termination, the client remains responsible for retrieving or maintaining access to their business records and accounts.
Termination of bookkeeping services does not automatically cancel amounts already due or charges properly authorized for services already provided.
9. Accuracy of Financial Information
We make reasonable efforts to provide accurate bookkeeping services based upon the information made available to us.
However, bookkeeping accuracy depends significantly upon the accuracy and completeness of information supplied by clients, financial institutions, software providers, payroll providers, payment processors, and other third parties.
We cannot guarantee that third-party information or systems will always be accurate, complete, or available.
Clients remain responsible for reviewing financial information and promptly notifying us of known errors, missing transactions, unusual activity, or discrepancies.
10. Third-Party Software and Services
Our services may involve third-party platforms, including accounting software, financial institutions, payroll providers, payment processors, scheduling services, document-sharing systems, and other technology providers.
We are not responsible for outages, security incidents, data loss, pricing changes, software changes, service interruptions, or other actions caused by third-party providers outside our reasonable control.
Use of third-party services may also be subject to the terms and privacy policies established by those providers.
11. Confidentiality
We understand that bookkeeping services may require access to confidential business and financial information.
We will use reasonable measures to protect confidential client information and will not intentionally disclose confidential information to unauthorized parties except when necessary to provide agreed-upon services, when authorized by the client, or when disclosure is required by law.
Additional confidentiality obligations may be included in individual client service agreements.
12. Website Information
Information provided on this website is intended for general informational and educational purposes.
While we make reasonable efforts to keep website information accurate and current, we do not guarantee that every statement, article, resource, or other piece of information will always be complete, accurate, or current.
Website content should not be relied upon as individualized accounting, tax, financial, or legal advice.
13. Intellectual Property
Unless otherwise stated, the text, branding, graphics, logos, service descriptions, downloadable materials, and original content appearing on this website are owned by or licensed to Northeastern Oklahoma Bookkeeping LLC.
Website content may not be copied, reproduced, republished, sold, or commercially distributed without permission, except as permitted by applicable law.
14. Limitation of Liability
To the fullest extent permitted by applicable law, Northeastern Oklahoma Bookkeeping LLC will not be liable for indirect, incidental, special, consequential, or punitive damages resulting from use of this website or reliance upon general information provided through it.
Any liability related to paid bookkeeping services will also be subject to the terms of the applicable client service agreement and applicable law.
Nothing in these Terms is intended to exclude liability that cannot legally be excluded.
15. No Guarantee of Results
We do not guarantee specific financial, business, tax, profitability, financing, credit, or other outcomes from using our bookkeeping services.
Accurate bookkeeping can provide valuable financial information, but business results depend upon numerous circumstances outside our control.
16. Governing Law
These Terms are governed by the laws of the State of Oklahoma, without regard to conflict-of-law principles.
Any disputes will be handled in accordance with applicable law and any additional dispute-resolution provisions contained in the client’s service agreement.
17. Changes to These Terms
We may update these Terms periodically to reflect changes in our website, services, business practices, payment procedures, or legal requirements.
When changes are made, the “Last Updated” date at the top of this page will be revised.
Continued use of the website after changes are posted constitutes acceptance of the updated Terms.
